Job Description

Title: IT and Database Assistant
Reporting to: Project Manager
Duty Station: Karachi (Field-based)
Unit: Operations
Section: IT and Data Management

 

Summary of Key Functions

The IT and Database Assistants will be responsible for providing technical support to the project team in the areas of IT infrastructure, software applications, and database management. They will assist in ensuring the smooth operation of IT systems, troubleshoot technical issues, manage data entry, and maintain databases related to the project. These roles will also involve supporting data collection and analysis efforts, ensuring that data is accurate, secure, and well-organized for project reporting and decision-making.

 

Roles and Responsibilities

IT Support and Systems Management

Provide technical support to staff, including troubleshooting hardware and software issues, and ensuring timely resolution of IT problems.

Assist with the setup and maintenance of IT equipment, such as computers, printers, and other devices.

Ensure that all project-related IT systems are functioning properly and are kept up to date.

Support the installation and configuration of software applications and tools used for project implementation.

Ensure that IT infrastructure (internet, networks, etc.) at the project sites is functional and accessible for staff.

Regularly back up critical project data to ensure security and avoid data loss.

Monitor and maintain the organization’s computer and communication systems, including LAN, internet, and servers.

Database Management and Data Entry

Assist in the creation, management, and maintenance of project-related databases.

Ensure data entry is accurate and consistent, and ensure that the databases are regularly updated and backed up.

Support data collection, verification, and validation processes, ensuring that all information is accurate and compliant with project requirements.

Assist in the design and creation of data collection forms and surveys for field data, ensuring proper coding and structuring of collected data.

Generate and manage data reports for the project team and donors, ensuring timely and accurate delivery of data-driven insights.

Monitor data quality to ensure that information being collected and entered is correct, relevant, and complete.

Training and Support for Field Staff

Provide training and technical support to field staff in the use of project-specific IT tools and databases.

Conduct periodic checks and audits to ensure data integrity and adherence to data management protocols.

 

Support the team in the development of data management procedures and guidelines.

Assist in the preparation of IT and database-related documentation and manuals for staff.

Security and Data Protection

Ensure the security of project data, both in physical and electronic forms, through proper storage, access controls, and encryption methods.

Monitor and enforce IT security protocols to protect sensitive project information from unauthorized access.

 

 

Help manage and enforce data protection policies, ensuring compliance with applicable laws and regulations regarding data privacy and confidentiality.

Collaboration and Coordination

Work closely with the IT team and project staff to ensure effective communication and troubleshooting.

Collaborate with the M&E Officer and other team members in data-related activities, ensuring that data is properly utilized for decision-making and reporting.

Coordinate with external IT service providers and vendors for the procurement and maintenance of equipment and software.

 

Qualifications and Skills

Education:

A Bachelor’s degree in Information Technology, Computer Science, Data Management, or a related field.

Experience:

At least 1-2 years of experience in IT support, database management, or data entry, preferably in a development or NGO setting.

Experience with IT troubleshooting, network management, and maintaining hardware and software systems.

Familiarity with database management software (e.g., Microsoft Access, MySQL, SQL Server, or similar).

Experience in data collection, data cleaning, and report generation.

Previous experience with data protection and security protocols is a plus.

Skills:

Strong technical skills in IT support and database management.

Proficiency in MS Office applications (Excel, Word, PowerPoint) and Google Suite.

Knowledge of data visualization and reporting tools (e.g., Power BI, Tableau) is an asset.

Ability to troubleshoot IT and database-related issues independently.

Excellent attention to detail and organizational skills.

Strong communication skills, with the ability to assist and train non-technical staff.

Ability to work well in a team and independently.

Understanding of data security principles and best practices.

 

Additional Information

Travel: Occasional travel to field locations as required for data collection and IT support.

Languages: Fluency in English is required; knowledge of local languages in Karachi Field is an advantage.
