Job Description:

Position Objective and Specific Tasks.

A new mobile vaccination initiative is being launched to enhance healthcare accessibility in remote and underserved communities. This project requires a dedicated Admin & Operations Officer reporting directly to the Project Coordinator, who will play a key role in ensuring seamless operations, efficient coordination, and comprehensive logistical support for immunization activities across Balochistan.

Key Responsibilities.

  • Oversee daily office operations, ensuring efficient management of supplies, equipment, and maintenance.
  • Streamline communication, scheduling, and stakeholder collaboration to ensure smooth immunization activities.
  • Support logistics for vaccine supply, including storage, transportation, and distribution to ensure efficiency and effectiveness.
  • Manage all incoming and outgoing communication, including emails, letters, and phone calls.
  • Assist with HR-related tasks, including onboarding new employees, maintaining attendance records, and managing timesheets.
  • Organize and schedule meetings, appointments, and events, ensuring smooth execution.
  • Plan, coordinate, and oversee events, meetings, and conferences, handling all logistical needs such as venue selection, transportation, catering, and audio-visual setup.
  • Manage event registration processes, address participant inquiries, and provide necessary support.
  • Liaise with vendors, suppliers, and internal teams to ensure seamless service delivery.
  • Coordinate hotel reservations, transportation, and accommodations for employees and guests.
  • Oversee the procurement process for office supplies and equipment, ensuring cost-effectiveness and quality.
  • Maintain accurate records of all travel-related expenses and reimbursements.
  • Ensure all administrative operations align with organizational policies and procedures.
  • Provide additional assistance as needed to support the smooth functioning of the office.

 Educational Requirements and Skills. 

The ideal candidate for this role should have the following qualifications and attributes:

  • Master’s/Bachelor's degree in, Business Administration, or a related field.
  • Proven experience (typically 2-5 years) in administrative support, within the development sector.
  • The candidate should be a resident of Baluchistan and familiar with the local vendors and facilities.
  • Proficiency in using Microsoft Office suite.
  • Strong communication and writing skills in English and Urdu.
  • Excellent organizational and time management skills.
  • Attention to detail and ability to maintain accurate records including organizing filing systems and record keeping.
  • Strong communication and interpersonal skills.
  • Ability to work independently and collaboratively within a team.
  • Problem-solving and analytical abilities.
  • Strong attention to detail and problem-solving skills.
