Position Objective: The Program Assistant will provide administrative, coordination, and logistical support across multi-sectoral programs including Health, Nutrition, WASH, Livelihood, and Partnership activities. The role requires a highly organized and detail-oriented individual to assist with the day-to-day functioning of programs, documentation, partner coordination, and reporting. The assistant will support program teams to ensure timely implementation, documentation, and communication of program activities.
Relevant Experience: Bachelor degree in social sciences, mass communication or related discipline with atleast 02 years of overall experience and 01 year in relevant field in development sector
Job Description:
Mission 1: Support to Administrative Support to Program and Partnership Activities
Program Assistant is responsible for:
- Assist in planning and coordination of field-level activities across health, nutrition, WASH, and livelihood sectors.
- Support the development of work plans, budgets, procurement plans, and monitoring checklists.
- Assist in tracking the progress of program implementation and follow up with field teams on deliverables.
- Maintain and update program databases, trackers, and reporting tools.
- Organize meetings, training sessions, community events, and field visits; handle travel and logistics.
- Draft and format letters, minutes, reports, and briefing notes.
- Ensure proper filing (electronic and hard copies) of all program documentation.
Mission 2: Lead preparation and use of visibility materials
Program Assistant is responsible for:
- Undertake Field visits to ACF’s project interventions, document photos and video stories and maintain an up to date and varied store of photos and videos;
- Assist in preparation of visibility and communication material such as case studies, project fact sheets, contents for social media, videos and documentaries
- Provide support in the preparation of communication and visibility material and press releases for events in line with visibility requirements of ACF and donors.
- Ensuring branding and visibility guidelines as outlined by ACF international communication manual
- Ensure that tracking database on Journalist directory for media and emergency SOPs is kept up to date for all ongoing program development in assigned region.
Mission 3: Partnership and Stakeholder Coordination and Reporting
Program Assistant is responsible for:
- Support liaison with local partners, community groups, and relevant stakeholders.
- Assist in coordination meetings, note-taking, and follow-up on agreed action points.
- Maintain updated contact lists and communication logs for all program partners.
- Compile data and support the preparation of donor reports, situation updates, and program briefs.
- Assist in documenting best practices, success stories, lessons learned, and case studies.
- Support PD team in finalization of internal and external (donor required) progress reports which includes but not limited to APRs, CRFU, Quarterly Reports, and donor reports,
- Provide editorial support to project teams for review of reports and documents and ensure the quality and presentation of reports shared externally;
- Travel to the field sites as needed to support program reporting
Mission 4: Ensure compliance with ACFs gender equality, child protection sensitivity and Safeguarding policies
The Program Assistant is responsible for:
- Read and ensure a full understanding of ACFs Gender, Child Protection and other safeguarding policies
- Implement all work related activities with a gender, inclusion and child protection lens
- Help build an inclusive office environment where people do not feel disadvantaged or judged according to their gender or limited due to manageable disability.
